About this template
A call sheet tells everyone on a shoot where to be, when, and what is being filmed that day. The assistant director or producer sends it out the evening before, and it is the one document every cast and crew member reads.
This template fits the essentials on one page. The top block has the production, date and shoot day, director and producer, the location and parking, the weather and sunrise or sunset, and the nearest hospital, which every call sheet should carry. Next to them are the three times that matter most: crew call, shooting call and the estimated wrap, with the length of the day worked out from crew call to wrap.
Below are three tables: the shooting schedule by time and scene with the cast numbers, set and page count; the cast list with pick-up, hair and makeup and on-set times; and the crew list by department with phone numbers and individual call times.
How to use it
- Size the tables - Set the number of schedule, cast and crew lines for your shoot and download the Excel file or the PDF.
- Fill in the day - Production, date, shoot day (Day 3 of 12), the location address and parking, the nearest hospital, and the weather with sunrise and sunset.
- Set the calls - Enter crew call, shooting call and estimated wrap. The day length shows how many hours the crew is on the clock.
- Add the schedule, cast and crew - List scenes in shooting order with their times, then each cast member's pick-up, makeup and on-set call, then the crew by department.
- Send it the night before - Save a PDF and email or text it to cast and crew. Send an updated version if anything changes.
Formulas in this workbook
Every formula below is written into the workbook itself, exactly as shown. The cell references are the ones the default options produce; change the row or column counts and they shift to match.
=IF(COUNT(E4,E6)=2,ROUND(MOD(E6-E4,1)*24,2),"")- Day length: hours from crew call to estimated wrap. MOD(wrap - call, 1) handles a night shoot that wraps after midnight, so a 6:00 PM call and 4:00 AM wrap is 10 hours rather than minus 14. It stays blank until both times are entered.=COUNTA(A22:A26)- Cast called: counts the names in the cast list. The crew table has the same count, which is handy for ordering catering.
Customizing it
- Add your production company logo at the top with Insert > Pictures.
- Add a column to the schedule for day or night (D/N) and one for special equipment such as a drone or crane.
- Add an advance schedule for the next shoot day at the bottom so people can plan ahead.
- For a photo shoot, rename Scene to Look and Cast to Talent.
Frequently Asked Questions
The production name and date, the shoot day number, crew call and shooting call times, the location address and parking, the nearest hospital, weather with sunrise and sunset, the scenes being shot, cast call times, crew call times by department, and key contact numbers.
On a larger shoot the second assistant director prepares it and the first AD and producer approve it. On a small production or a photo shoot the producer or director usually writes it.
Usually the evening before the shoot day, once the day's schedule is final. Many productions send it at least 12 hours ahead so cast and crew can plan travel.
Crew call is when the crew arrives to set up. Shooting call is when the camera is expected to roll on the first shot, usually an hour or so later.
